I just recently discovered Tap Forms and instantly switched over from my previous Bento installation. One feature I have not yet found, or perhaps it doesn’t exist, is including image fields in searches.
    My use case is this:
I have an inventory database that includes an image of the item. Often I don’t have a picture read when creating the item, thus there is non. Now, I’d like to search for all items that don’t have a picture, so I can add them later. The search field does not include image fields.
So, my question is: is it somehow possible, perhaps through a workaround (calculation field?), to create a search showing all entries without an image.

I would like to see this feature as well especially with saved searches.

I have a “People” form (what Bento called “library”). Under that form, I’ve saved some searches (views, collections) based on certain criteria. When I view those saved searches, it would be great to have a view of the list of records that is different from just one view for the entire People form. This includes putting the fields in different order for different views for different saved searches.

Otherwise, the saved searches would not be super useful. I understand that the saved searches main purpose might be to simply narrow down the displayed records based on the criteria. But saved searches would be even more helpful if you can sort that saved search’s results based on certain fields and have those fields be towards the beginning of the view as opposed to having to scroll through over a hundred fields.

    Thanks,
    Dean

I have been slowly migrating my Bento libraries into Tap Forms. With the Bento incompatibility issues with Yosemite and El Capitan I am still using Mavericks. In the next few days I will be performing a clean install of El Capitan and have finished the Tap Forms backup. After installing Tap Forms and restoring from the backup, is everything going to look and act the same? My main concern is the forms and photos. I would rather not have to re-format the fields within the forms.

I guess I just need some reassurance that it will be a seamless transition.

    John

Sorry to revive a 6 month old thread but is there any chance that autocomplete for text fields could be added to Tap Forms in a future update. That was one of the features I really liked in Bento.

I need to cut and paste data between libraries as I do in Bento and Numbers. (Mac). It relates to current items in stock book, transfered to Sales analysis files when item is sold. How do you do it?? I can see on the forum that this wasn’t possible quite sometime ago – but surely it’s available now?

I have been importing a few Bento libraries into Tap Forms and have noticed a strange phenomenon with only one imported database. The record numbers start on the blank row on top of the data records. If I click on any other record, the numbers change to the correct records. That’s a strange one!

    Greetings,

I finally imported my Bento libraries into Tap Forms. So far everything seemed to work well. The issue I may have is adding new records with linked images. The images that were imported appear to have random file names that don’t match the original names at all. Bento’s Option/Drag was very convenient to link images rather than embed them. My database is 523mb now, and some libraries do not yet have images. Attached is a screen capture of the digital image library.

I haven’t been able to wrap my head around linking new images, so that is essentially my main question. Also, the lack of a copy & paste could possibly slow the adding process considerably.

As you can obviously tell, I’m essentially a putz with databases!

    Thanks very much.

    Regards,
    John

    Brendan-

Currently we have an expansive spreadsheet for 165+ students and all the classes they take in our K-12 educational enrichment program. This was imported from a CSV file into Numbers. The CSV file was imported from a WordPress plug-in form on our website that captured student registration information and class selections. So literally, there is a row for every student and every class they are taking. Since most students take 3-5 classes, you can only imagine how massive this spreadsheet has become and how slow it is to sludge through to find data, even with CTL+F search.

We have a great need to take the information from the behemoth Numbers file and put into a more user-friendly database so that admin people of the school can access it in real-time and we can print out a form with all of the students’ information on it and all the classes for which they are enrolled. Class rosters for the teachers would is also essential.

Because we already owned BENTO, we thought we would create the desired database structure, student forms, class rosters, etc. in that. However, upon further research, we’ve discovered Tap Forms. In your opinion, would Tap Forms give us the multi-user accessibility with real-time data that we need and will be capable of printing out a hard-copy student information form/student schedule form/class rosters we need or is a CRM platform such as the aforementioned be advisable?

And, is there a way to circumvent the CSV and/or Numbers spreadsheet and create a direct import directly from the web-based form to the Tap Form? As you can see, we’ve got quite the cobbled system which worked fine until registration doubled this past year and now we have a need for multiple users to access. The only reason to go the CRM route would be to track tuition payments, however, we can easily trace payments through the PayPal Pro payment gateway we use.

Any advice you could give would be greatly appreciated!

Also, what may have happened during the Bento template import process is you have those two relationships, but both with “Link to Form” relationships. So what you want to do is remove one of them and then enable the “Show Inverse Relationship” function. You can do that first before you delete the other Link to Form field just so you can see if it’s working right. Use the Default Layout to see if it’s working right since Tap Forms won’t add a field to any of your custom layouts (what Bento used to call forms).

    Thanks

I have been using Bento until recently but am looking to replace it with TAP. (Currently exploring the ten day demo on my Apple Powerbook running Maverick. There is much I like about this app.)

I successfully imported my entire bento database, which contains two ‘libraries’ (Bento’s terminology, not mine.). One library is a straight forward contact list of galleries, and the other is a list of my paintings with various specifications. In Bento, I had been using a ‘related datafield’ function to link the gallery list and painting list together. I wanted to be able to track which gallery had which painting(s) at any given time and I only wanted to update the data once as work moved to a different location.

This ‘double-entry’ (my term, not Bento’s) function appears to work in TAP as it did in Bento. But if I am in the TAP painting database and I want to know what paintings a specific gallery has on-hand, I can’t perform a search for that gallery which is listed in the ‘related datafield’. Neither Bento or TAP seem to include the ‘related datafield’ in a search.

I know this wasn’t possible to do in Bento. Is this even possible to do in TAP? Or should I set this up in a different way?

    TIA,

    thokitts

    Hi Andrew,

You’ll have no troubles with the current version handling a few thousand records. It does matter how many fields you have with those few thousand records though. If you have 100 fields with 3000 records, then that’ll perform worse than 6000 records with only a couple dozen fields.

Why don’t you download the Mac trial version and try it out yourself.

The update I’m working on I’ve tested with over 117,000 records (on the Mac version) and it has decent performance on my MacBook Pro with that many records. Takes about 6 seconds to load up. Plus the way I’m designing it you’ll be able to have separate database files. So you may have a form with a ton of records in its own database that’s separate from forms with fewer numbers of records in another database. So the big database won’t impact the performance of the smaller database.

In all likelihood it won’t be a free upgrade though. There’s just too much going into the next big version to warrant that. Plus I’ve offered free upgrades for the past 8 years on all versions. That’s pretty amazing value, don’t you think? And for everything that Tap Forms does, it’s still cheaper than Bento ever was, especially taking into consideration the iPhone and iPad versions they also used to sell.

And again, I’m about 6 months away from having anything ready with this one. Especially since I’m still working on bug fixes and things for the current version which of course are free updates.

    Thanks,

    Brendan

    Hi brendan,

just to say that I can now sync files ok.

I’d also like to say that changing over from Bento to a new database was quite concerning and time-consuming. But even though it’s taken me a long while to work out the new System, the fact that you are always there ready to help and give advice and so promptly, has made it all worthwhile.
I would certainly recommend you and your database to anyone who asks me.

I hope I don’t keep pestering you too much!

    Hi Brendan

Firstly thanks for a really quick response to my question. great service.

I’ve only just got around to trying what you said.
I followed your instructions but although it reduced the files, the iPad is still showing 37 too many.
I couldn’t understand why the instructions said at the end, to upload to iCloud on the iPad. However, I did and it added the extra files onto my Mac.
So I restored the database and started again without uploading from the iPad.
It says it all syncs ok but wrong amount of files still on the iPad .
I’ll keep resetting and see if it improves? unless you have any other suggestions?
btw, the files were originally uploaded from Bento

This was very helpful on my Mac-based Tap Forms app, and my iPhone app, too. Thank you so much. Makes good sense, and it’s such a nice step from Bento.

    Hi there

I have been using Handbase for years, since the Palm OS days, and really like it but for one thing that made me finally switch: lack of cloud sync.

So I just purchased Tap Forms for Mac and iPhone and am starting to transfer my data. I have “databases” (=Tap Forms “forms”?) with “pop up” fields (=Tap Forms “pick lists”?) and fields linked to other databases (aka forms). (I’m just trying to confirm that I understand the terminology in Tap Forms.)

I have searched the forum, but haven’t found answers to my questions so here goes.

I suspect there is no way to export linked forms from Handbase in a similar way as Bento (i.e. template), so I’m looking for some advice. For my database with a popup field, I exported the database (aka form) to csv and then created a separate csv with a list of all the unique pop up (pick list) choices. One question is, should I recreate a form with pick list field or should I make 2 forms with a “link to form” field instead?

(It is my passwords database. The field “password” has a pop up/pick list with a list of all the passwords I use. I want to import the data and continue to add to it.)

I was trying to create two forms and create a field in one with a link to the second. I realized that I don’t have a link field (i.e. a key), so I was thinking I’m going to have to create a new field that is linked to the passwords form and then manually go through each record and pick from each list using the imported text field. I have over 600 records, so it seems daunting. And I don’t think I did it correctly anyway – I linked the forms, but in the parent form, the child form is marked “0” records, but the child form has all the records.

Second question is, should I use pick list instead? If so, can I import a pick list? I know I would also have to go through manually picking each password for each record, so it’s still not ideal.

I saw some mentions of using another program to create record IDs and then linking them in Tap Forms. Are there any instructions on how to do this? I don’t know if there is a way to see the field in Handbase that contains the link info it uses.

    Any help is greatly appreciated!

    Thanks
