FernParticipantI created and edited a bunch of records on iOS. This was on a trip so it was a week before I got back to my laptop and opened TapForms there. Some of the new records showed up, but not all. Only if I tweaked something in a record that didn’t show up would TapForms on my Mac notice and download it. But it was a lot of records to tweak, so I deleted the database from my laptop, thinking I’d just be able to redownload it from iCloud / with Cloud+. However, TapForms keeps thinking that database is already downloaded (it shows a checkmark next to the database). How do I get TapForms to realize that database is no longer downloaded so I can download it again?

BrendanKeymasterHi Fern,
Tap Forms uses the Document ID to determine of a document is already downloaded. Check the main Database Documents window to make sure you don’t have a document listed there that has the same ID as the one you’re trying to download. You can click the (i) button at the bottom of the window to display the Document Info sidebar. The Document ID is displayed there. Compare it against the document IDs you see on the iCloud Documents popover view. You’ll need to delete that when you find it, then you’ll be able to re-download the document from iCloud.

FernParticipantThanks, Brendan, I compared the IDs of the 5 databases I have in iCloud with the 4 that are on my computer and the document is definitely not on my computer anymore so I’m stuck! I use this database to fulfill sales which I do need to get back to today so any other ideas would be super welcome. Thank you!

FernParticipantMore data! I opened my iPad and the same issue is occurring. About 100 records are missing, and photos are missing on some of the synced records. I had created a lot of records on my phone while on a flight, so they wouldn’t have been able to sync immediately due to no WiFi / data. Any tips on how to proceed? I definitely won’t be deleting the database from my iPad in case I run into the same issue as on my laptop. But working with this database on my phone only is difficult.

BrendanKeymasterIf you don’t have the document on your computer, you can re-download it from the iCloud Documents screen. Do you see the download button next to the document that’s missing on your computer?

FernParticipantRelated, i.e. the issue that led to the above, should I turn off sync when I’m working on a database without wifi/data? What kind of troubleshooting can I do next time a bunch of records don’t sync? I have a couple of fields with calculations so I tried pulling down to force recalculation of all fields hoping that would trigger records to be updated. (The date changed for many records since my timezone changed by 16 hours, thus a batch number calculation field based on the date field was updated for all the new records.) That seems to have gotten more records synced to my iPad, but there are still about 20 missing.

BrendanKeymasterIf there’s a checkmark next to your document, then it is there. Do you have any folders created? Maybe it’s inside one of them. You could check the Document IDs on the Document Info screen to verify which document it thinks is already downloaded. Technically you can rename a document and it will still show up as being downloaded. It’s the ID numbers that are used for syncing, not the name of the document. So if you have a document on the iCloud Documents screen with filename “A” and a document in the list of documents on the device called filename “B”, then it’s possible that if they both have the same document ID, that Tap Forms thinks it’s already downloaded because the document ID is the same as the one on the iCloud Documents screen.
The calculation refresh was a good solution to update all the records to trigger a sync. You could also try locking and unlocking the missing records to force a sync.
It shouldn’t matter if WiFi is not available when you make changes to records. They should sync once WiFi is available again. But I’ll do some testing with this by turning off WiFi, making some changes, then turning WiFi back on again.

FernParticipantAh! There’s a folder of backups within the TapForms folder that had an old version of the database in it.
I will try to lock/unlock to force a sync, but that is also quite tedious as it requires me to find/identify which records are missing.
What can I can do in the future that will ensure that sync doesn’t miss any records? Thanks!
Update: Database is back on my computer, what a relief! It shows 8072 records, however, and my iPhone shows 8078. Is there a way to efficiently track down the missing 4 on my computer?
