I have a puzzle. I have an existing form I’m using with specific fields already in place, and content filled in to the form for different categories. Its essentially the same form repeated in different categories for holding account passwords. What I want to do, is be able to update the form by adding a new field, and then hope that the new field is populated to the existing forms from the template in the other categories that have already been done so I can just add that new content.
So a simple example: Existing form has Name, Address, and phone number. The form could have been used 10 times in that template.
I want to add say, Email…and have that new field populate to the existing template where its already been used for other created records.
Can I do that, or do I have to go into those documents individually and create the new desired field – as well as for the one that will become the updated template? If its the latter response, that will be a huge issue if I ever need to update existing records that might have been used say 50 times in relation to the one with any newly added fields.

A form is just a template that defines what fields are used by all the records within it.
So if you add a field to a form, every record within that form will also have that field added to it.
So you should be good to go with just adding a new field to your form template. As you visit old records or add new records to the form, the new field will appear on all of them.
That is, on the default layout. If you create a custom layout (on Mac), then you need to manually add the field to your layout. But you only do that once onto the layout and every record after that will have the field on it. Now you can enter data into the new field.
