Shawn BerthelParticipantHello Brendan,
Its been a while since I have posted here. I hope you are well, and that you had a good holiday. I was wanting to ask about the printing feature of TapForms.
So, I have a database with multiple categories, and each category has multiple copies of the same form with content having been added. Its basically a categorized password list. Can I print out (or export as a PDF document to my computer) all the form copies with all the categories at once, or do I need to print out or export a single record instance of the form for each record in each category? So, 10 records in category A, would be printing each individual record, before moving on to category B. Or, can I print out all the forms 10+2+7+6+3 (representing the various record quantities) in all the categories (A-Z) as one document?
On my Mac, when I bring up a print command, I can usually preview a document in PDF, then export that preview in PDF to my computer without actually printing it. Not having a printer attached to the computer leaves me with this as my only option. I would like to be able to export the entire database of records as one PDF. I read the support content on printing, but I might have misunderstood whether or not I have such an option.
I hope this makes sense. Thank you for the response.
Warm regards,
Shawn

BrendanKeymasterHello Shawn,
The PDF function on the Mac version is the way to do it. You can print more than one record a time. Just click on the “All records” option on the Print panel. Then you can save the PDF file or print it to a printer.
Tap Forms will print all the records from the selected form.
There are a number of print options available. You can print the record details or the entire set of records as a table using the Table of records option.
Not sure if that’s exactly what you were looking for though.
Thanks,
Brendan
P.S. I have a son named Shawn :)

Shawn BerthelParticipantHello Brendan,
Yes, I recall you mentioning that once when we first communicated a year ago. As I mentioned, it has been a while, so I don’t expect you to remember me in any distinctive way. :-)
So, I think what you mentioned makes sense. I just want to make sure I can PDF export all the records in all the categories as one complete document, rather than say having to create a PDF for all the documents in Category A, then repeat the process for the remaining categories.

BrendanKeymasterWell, by category if you mean the top-level thing like “uncategorized”, “personal”, “business”, etc., then yes, you’d have to print for each selected form within each category.
But if you have your own category grouping of records within a form, then they’ll all print out at the same time when you choose the “Print all records” option on the Print panel on the Mac.
Use the Preview function under the PDF button to see how it all looks for you.

Shawn BerthelParticipantYes. Like the one for uncategorized. Okay, so as an example…I have one category labeled Bank Accounts, with about four forms in that category. Another one is Email, with three forms in that one. Another is Websites, with like 10 forms in that one. So in this example, what I would want to do is a composite PDF of all the selected categories (or even all the other categories with their appendant forms), and create a single PDF document that contains all the forms of all the categories as one full document at once. What I think I understand from you, is that I would be limited to doing one category worth of how ever many forms there are (in that category), at a time. Making a PDF copy of the forms in that one category, before moving on to the next one. Is that correct Brendan?
Thank you for your patience.

BrendanKeymasterYes, you would have to individually select each form within each category and print each one, one at a time. You’ll get a PDF file for each form. But there are programs out there that would let you combine them into a single PDF file if you want. At least I’m sure there must be.
