Getting iCloud Sync to work again in Tap Forms

Hi,

So with the recent update to Tap Forms Mac (2.2) and iOS (3.8.1), I changed the way the sync files Tap Forms generates are encrypted. The sync files are generated every time you click (or tap) on the upload to iCloud button. Tap Forms will encrypt them before uploading them to iCloud. Now, Tap Forms needs to have the same encryption key set on each of your devices in order for sync to work again.

On the Using Tap Forms forum, I posted a topic on how to get iCloud sync working again, so rather than copying the article here, I'll just give you a link to it:

Thanks!

Brendan

    I loaded 3.8.2 (174)
    On both iPhone and iPad
Now I can’t access my large customer list on the iPad. However, it is okay on the iPhone.
In the forms page I have several forms that do open but my customer list has 1256 records. When I tap on it it just freezes with the “pinwheel” rotating. Can you help?

    Hi Allan,

If you run through the various database maintenance tasks (from top to bottom) in the Tools area, that will improve the performance.

There’s a forum post in the forums at the top of the Using Tap Forms forum which explains it too.

    Thanks!

My iCloud sync works weirdly. I have 84 records on my iPad but only 70 on my Mac. That’s after I synced and the Mac added some records but not all and added some of them only partially (just the client number and none of the rest). I don’t know why my desktop won’t see all the notes. Any ideas? This is very frustrating.

    • Brendan says:

      Hi Dawn,

After you made some changes on your iPad, did you tap on the upload to iCloud button on your iPad? That’s the only way you will get your records over to your Mac. It won’t happen without user intervention.

You may need to click/tap on the Reset iCloud Sync button and then re-enable iCloud sync on each device to get it working again.

Alternatively, it may be that your iPad just isn’t sending data to iCloud anymore and may require a reboot. Do a full power off and then on again by holding the power button until the “Slide to power off” slider appears. Then slide your finger across it to power it off. Wait for it to turn off, then turn it back on again and then try uploading to iCloud again from within Tap Forms.

Also check to make sure that your iPad sees your Mac and your Mac sees your iPad in the list of Registered Devices.

      Thanks,

      Brendan

My devices stopped synching. I generally carry this operation out every other day. When I hit the iCloud button in the top right corner of my iPad it syncs normally but won’t recognize that the synch took on the iPhone.
The iPad device does not appear on my iPhone anymore. When I reset the sink on the iPhone both devices disappeared.
I tried to going to the link that you supplied but my devices won’t display it.
    Please help.

  5. Brendan says:

    Hi Allan,

Have you tried rebooting all your devices? Try that and then see if the other devices eventually show up in the list of Registered Devices.

    Thanks,

    Brendan

  6. Norm says:

My iMac and iPhone sync but there is an extra record on the Mac database but not in the phone. I have re synced and still one record different.

    • Brendan says:

      Hi Norm,

Try making a small change that that record so the modification date get updated. Then click the upload to iCloud button on your Mac. Wait for your iPhone to auto-sync that change. The record numbers should match.

      Thanks,

      Brendan

  7. Norm says:

Brendan, there are 1,600+ records in my DB so I don’t know which record might be the odd one out.

    • Brendan says:

Oh I see. I thought you could tell which one was not synced properly.

Maybe try resorting your form (change the First Sort Field to something else). Then set it back again. It should update all the modification dates on all your records. Then click the upload to iCloud button.

      See if that helps.

      Thanks,

      Brendan

Brendan, here’s the interesting thing. If you look at this screenshot

    https://www.dropbox.com/s/gf9tznm0mf0vxwd/shows.jpeg?dl=0

you’ll see that the sidebar has the correct number of records but the number at the bottom of the records is one more. Any idea why?

    Norm

    • Brendan says:

Well, the count of the number of records on the left is maintained in a separate properly on the form than the number down below. What happens if you add a new record? Does it go to 1624 or 1625?

  9. Norm says:

Yes, it does. The left bar says 1624 and the bottom number clicks to 1625. You know, it really doesn’t matter. I know the 2 databases are identical and synced properly. The fact that the Mac shows an extra record is not a problem. My phone app does not show the extra.

    Thanks for your help.

    Norm

Thanks for this helpful post! One question: When syncing is working, the toolbar button ‘form’ no longer functions to bring up our right-hand side toolbar. When sync does not work, the button functions properly. Is there something I’m missing? Thank you!

    • Brendan says:

      Hello Lief,

Do you mean that when the “Syncing…” alert notice is displayed the Form button is disabled? If so, then that’s normal behaviour. When it’s finished syncing, you’ll be able to click on those buttons again.

      Thanks,

      Brendan

  12. Lief Fenno says:

In fact, to follow-up on that, edit form doesn’t appear to be working at all…

  13. Lief Fenno says:

Hi, sorry, to clarify, the syncing is working fine, as far as I can tell, but the button to edit the form as well as the menu item ‘edit form’ and the right-click option to ‘edit form’ in the form list no longer do anything…

  14. Lief Fenno says:

Ah, gotcha! Appreciate it…think that will be out in the next week or two maybe?

    • Brendan says:

Unfortunately no. I’m currently in the middle of adding Dropbox sync. I know it’s not good to have that bug. One solution though is to make changes to your form on iOS and then sync them back to your Mac. Alternatively you could decrypt that field on iOS, sync it back to the Mac and then you will be able to edit the form on your Mac.

  15. Lief Fenno says:

The problem Lief is asking about concerns my jewelry inventory (I design and make jewelry). We’ve really liked TapForms for managing the inventory, but there’s really nothing in the inventory that actually needs to be encrypted. I’m not sure how or why the encryption was introduced, but is there any way to get rid of it for the whole inventory? It’s much more important for us to be able to use the edit button for sorting and printing selected inventory lists…

Thanks for providing such a great system, and hopefully we can solve the current problem without resorting to the iOS sync procedure!

    • Brendan says:

      Hello Diana,

If you contact me directly and send me your Mac’s Hardware UUID I can send you a beta version that has the fix. You could use it temporarily just to edit your form or to disable the encryption and then continue using the production version. Email me at support@tapforms.com

      Thanks!

      Brendan
